Did you know that you can easily send out a Quick Letter using ClearVantage and Outlook? Save time on your email blasts by following these steps.
- To get started, navigate to your Outlook email. Click on the Send/Receive tab and click on “Work Offline.” If you do not select "Work Offline," the emails will automatically send when ClearVantage sends them to your Outlook account.
- Return to ClearVantage and open the list that you’d like to send your Quick Letter to. Right-click and click on “Write Personalized Communication.”
- Go to file, Select Template.
- Highlight the template that you’d like to send and click on “OK.”
- Go to Merge, Email Merge.
- You can choose to send the quick letter to just one person, or you can send it to your entire list. We’ll send the Quick Letter to the Entire List.
- Click on “Email Options.” This tab allows you to send the Quick Letter from either your own Outgoing Mail Box, or from the System Mail Server.
- If you want the email to come from your Outgoing Mail Box, simply enter a subject and click on “Merge.” This will send the emails to your Outbox in Outlook.
- Switch back to your Outbox in Outlook. You’ll see all pending emails in your Outbox.
- Uncheck “Work Offline.” The emails may send automatically once "Work Offline" is unchecked. If not, you can click on “Send All” to send the messages.
- To send the email using the System Mail Server, switch back to ClearVantage.
- Click on “System Mail Server” in “Email Options.” Enter the email as follows: “First Name/ Last Name” <email address> For example, “Michael Sortwell” <msortwell@euclidtechnology.com>
- Be sure to fill out the “From Email Address,” “Reply to Email Address” and the Subject of the email.
- Click on “Merge.” This will send the emails from your System Mail Server.
