Configuring the Opportunities Module

Opportunity Management simplifies sales force automation, contact management, and action management. From this module, you can create action lists and view current status reports and pipeline activity tables and charts for your prospects and clients.

In order to configure the stages of the sales process and the source of sales leads, a user with System Administrator roles to configure ClearVantage.

Accessing the Opportunities Module

  1. From the Main Menu

Before creating any new Opportunity records, the Opportunity Status Codes must be configured per your organization’s business requirements.

  1. Select Administration > Edit Reference Tables

  3. Select the Add Record button in the lower right-hand corner to add a new stage.

  4. Each entry is a stage in the Opportunity process and can have the following information:

    • OPPSTATUSSTT: The name of the stage in the sales process.

      • Begin each stage with a number so that they can be sorted in the correct order.
    • DESCSHORT: Enter a description of the stage.

    • REPORTGROUP: Enter categories by which you want to group your stages in reports.

    • GOALQTY: Enter the number of opportunities for this stage.

    • GOALAMT: Enter the dollar amount of opportunities for this stage. ClearVantage Opportunity Management 1

    • DESCLONG: Enter the characteristics of opportunities in the stage.

  5. Optionally update the Notified By/Marketing Campaign table to ensure that the options to track all of the various sources are available.

Note

This must be done in CVPro using the Pro Tools option for Reference Tables.

Managing Opportunities

Opportunities allow staff to create and track potential sales through ClearVantage.

Enter a New Opportunity

Adding a new opportunity enables users to track sales leas and where each lead falls in the sales process.

  1. Two ways to enter a new Opportunity record:

    1. From an Individual or Organization notebook:

      • Select the Opportunities tab.

      • Select the Add Record button to open an Opportunity Notebook.

    2. From the Opportunities section on our ClearVantage Home.

      • From the main menu, select Membership > Opportunities.

      • Select the Add Record button.

  2. Use the following fields on the Profile tab of the Opportunity Notebook.

    • Opportunity: Assign a name to the opportunity.

    • Organization: Select the Search Organizations button to open the organization search window. Select the appropriate organization linked to the opportunity. Once the organization is highlighted, Select OK to return to the Opportunity Notebook. This selection populates the Organization and Org ID field.

    • Contact Name: This will field default to the main contact for the client if one has been entered. To select a different contact, Select the "Search Individuals" button to open the individual search window. Select the appropriate individual to link to the opportunity. Once the individual is highlighted, Select OK to return to the Opportunity Notebook.

    • Sale Type: Select the sale type from the following dropdown menu options:

      • Sponsorship

      • Booth Sale

      • Product Sale

      • Subscription

      • Membership

      • Donation

      • Project

      • Advertisement

      • Event Registration

      • Other

      • New Business

      • Current Client

    • Sale Item: Select the sale item from the dropdown menu options. Options that are available here will depend on the Sale Type selected.

    • Stage: Select the stage in the sales process for the opportunity from the dropdown menu.

    • Source: Select the source of the opportunity from the dropdown options.

    • Appeal: Select the appeal associated with the opportunity from the dropdown menu.

    • Amount: Enter the cash value of the opportunity. This is a required field and will display on the Sales Pipeline Report.

    • Close Date: Enter the closing date of the opportunity.

    • Owner: Select the ClearVantage User responsible for the opportunity from the dropdown menu. The Owner is generally the salesperson for the opportunity and will default to the logged in user when adding opportunities.

    • Company: Select the appropriate company from the drop down.

  3. Complete opportunity details within the Opportunity Actions area. With Opportunity Actions, record any prior and upcoming actions not assigned to individuals.

    • Next Date: Select the date for the next action.

    • Next Action: Enter the details of the next action.

    • Last Date: Select the date of the previous action.

    • Last Action: Ener the details of the previous action.

  4. Complete any notes associated with the new opportunity within the Opportunity Notes area.

  5. Select the Add Opportunity button.

  6. Select the Action Items tab to view historical actions.

  7. Enter additional actions via the Add Action button in the Activity Panel.

    • Action List: Broad category for action(s).

    • Action Type: Select the category for the action.

    • Due Date: Date action took place or will take place.

    • Current Status – Update To: Select the status of this action item.

    • Priority: Indicates the level of priority for items (1-5).

    • Assigned to: User who should perform or did perform the action.

    • Request Text: Description of the original action.

    • Response Text: Response to the original request.

  8. Press the Add Action Item button to create and save the Item.

Query ClearVantage for Opportunities

  1. From the Main Menu

  2. Select Membership > Organizations.

  3. Select on the Power Query icon.

  4. Scroll down to the Opportunity section and expand it.

  5. Enter the search criteria.

    1. Select Search.

    2. Export data or take additional action as needed from the Organization List action menu.

Edit Opportunities

All Opportunities entered in ClearVantage appear in the ClearVantage Home in the Opportunities area.

  1. From the Main Menu.

  2. Select Membership > Opportunities.

  3. Locate the Opportunity and Select the blue hyperlinked name to open the Opportunity Notebook.

  4. Make any changes to the Opportunity and or related action items.

  5. Update the stage in order to move through.

  6. Select the Save button.

View Pipeline Report

ClearVantage tracks and displays Opportunities in a Pipeline Table and Pipeline Chart available on the Opportunities page. You can also add Opportunity information to a custom dashboard.

To view the Pipeline Report simply select Membership > Opportunities. The bar chart will display at the top of the page.
