This guide is only applicable to enterprise clients using CV Pro or CV9.

Who Should Read the ClearVantagePro Overview Guide

This guide is for ClearVantagePro users who are responsible for data integrity, user management, IT systems, and configuring business processes in ClearVantagePro. Whether you are the database administration, IT manager, or membership director, we recommend reviewing this guide to understand ClearVantagePro.

What You Need to Run ClearVantagePro

To get started with ClearVantage Pro, you will need the following (provided by your system administrator):

  • Intel Core i3 (or higher) or equivalent Processor.

  • Minimum of 512 MB of RAM and 250 MB of free disk space.

    • (higher RAM can increase performance with creating/downloading reports. Can take advantage of up to 3GB of RAM if available).
  • Windows 10 (32-bit or 64-bit) or newer OS.

  • TCP/IP Network or local access to the central database that maintains ClearVantage data.

  • A ClearVantage User ID and Password.

Difference Between ClearVantage Online and ClearVantagePro

ClearVantage Online and ClearVantagePro use the same CV workspace interface and share most of the same functionality. ClearVantage Online is a browser-based application whereas ClearVantagePro is a PC-installed application that has specific administrator functionality. See the section on ClearVantage Pro Tools to review the tools that are only available in ClearVantagePro.

Below is a list of System Admin functionality that is only available for ClearVantagePro users.

  • Creating reports (standard and xTreme report writer tools)

  • Installing reports from the CV Market Place

  • Creation of Quick Letter templates

    • These are where your automatic emails being sent from the system are set up, such as dues renewal notices and registration confirmation letters.
  • Shared List Manager

    • Deleting saved lists from organization and individual saved list dropdowns

    • Subscribing saved lists to certain CV users

    • Dashboard gadgets

  • Importing data/lists into CV

  • Configuring UDEF fields

  • Customizing query tools

  • Accounting Functionality

    • Posting wizard

    • Export to Accounting

    • Un-post Batch

    • Trial Balance

ClearVantagePro Overview

The ClearVantagePro Workspace organizes and provides access to all of the information and features in ClearVantagePro using the tools below:

The ClearVantagePro Main Menu Dropdowns are located either at the side or the top of the CV Pro Workspace depending on your system configuration. The Main Menu Dropdowns allow you to access any area of the CV Pro system.

The ClearVantagePro Dashboard provides easy, centralized access to various tools that will help you complete your daily work. There is a separate guide detailing the different tools and configuration options available on the ClearVantagePro Dashboard.

User Settings

The User Settings button allows you to change your ClearVantage Theme from light mode to dark mode, auto pin ClearVantage pro forms and use voice commands.

To change the ClearVantage Pro Theme:

  1. Click on the User Settings icon on the top right-hand corner of the ClearVantage Workspace.

  2. The theme is defaulted to be in Light more. If you wish to change the theme to dark mode, click on the ClearVantage 10 Dark Radio button and click OK to reload your ClearVantage Pro app.

  3. A confirmation window will open, click OK to proceed.

To auto pin ClearVantage Pro Tools forms to your workspace:

  1. Click on the User Settings icon at the top right-hand corner of the ClearVantage Workspace.

  2. Check the Auto Pin Forms checkbox and click OK.

  3. Now, if you click on Pro Tools and select a Pro Tools button, there will be a new tab appearing along the top of your ClearVantage Pro Workspace.

To find the version of Pro you are on:

  1. Click on About at the top-right hand corner of the ClearVantage Workspace.

  2. This will open a pop window displaying the version of Pro.

ClearVantagePro Tools

The ClearVantage Pro Tools provide a list of administrator tools such as the report writer, advanced accounting features, system configuration settings, etc.

Below is a list of all the Pro Tools. To learn more about the ClearVantage Pro Tools go to the ClearVantage Pro Administration Guide.

  • Quick Letter: Built-in word processor. Quick Letters allow you to send customized documents to one or many individuals and/or organizations.

  • Productivity Central: Internal calendar tool.

  • Calculator: Brings up computer calculator.

  • Chat: ClearVantagePro version of instant messenger. This needs to be configured to use.

  • Timesheet: Allows you to report the time you spend on specific tasks for billing and budgeting purposes.

  • Information Central: Tool to create and store reports in ClearVantagePro.

  • Report: Tool to create reports in ClearVantagePro.

  • xTreme Report Writer: Includes an embedded designer. The designer provides you with all the tools for designing a report’s appearance, along with the ability of simultaneous previewing reports.

  • Shared List Manager: Allows you to create and share Predefined Lists as well as Gadgets that appear on the ClearVantagePro Dashboard.

  • SQL Console: Module that allows you to directly interact with SQL server.

  • Posting Wizard: Processes invoice item and payment transactions to generate journal entries as an input to the accounting system.

  • Trial Balance: Provides a summary of debits and credits by period, company, and account after posting.

  • Payment Entry: Allows you to enter payments.

  • Unpost Batch: Used to rollback a posting to investigate unexpected posting results.

  • Export To Accounting: Allows you to export transactions to your financial management system if the accounting integration with your financial system has been configured.

  • Reference Tables: Contain information to help manage the data inside ClearVantagePro.

  • Customize ClearVantage: System customization options for re-labeling fields, configuring UDEF fields, and configuring the power query tools.

  • Import Data: Allows you to import data from other applications. This feature is especially useful when working with large individual and organization lists.

  • Market Place: Displays a library of reports and business intelligence gadgets to be downloaded and installed.

  • Email Batch Manager: Standalone application used to view the Email Batch information. It also has functionality to cancel and change certain Email Batch statuses.

  • Reload App: Reloads ClearVantagePro.
