The revamped Event Floorplan functionality, offering improved options for creating and copying floorplans with enhanced numbering capabilities. Additionally, the Event Wait List feature has been updated to allow for multiple selections and includes new options for managing waitlisted registrations. Other updates include changes to Action Item behavior in the Notebook, enhancements to the Certification Transfer Credits feature, and improvements to list interfaces for easier navigation. Bug fixes address issues such as display problems in the new theme and functionality errors in dashboard views. Overall, these updates aim to enhance user experience and functionality within ClearVantage.

New Features

  • Event Floorplan Updates

    • Changed the "Generate Floorplan" button into a "Create Floorplan" dropdown button with two options: "Generate New Floorplan" or "Copy Existing Floorplan".

      • The "Generate New Floorplan" UI has been revamped with a new two-column layout. It also has a new "Numbering Type" option that allows users to choose between "Row/Column" numbering and "Basic" numbering.

        • "Row/Column" numbering assigns booth codes based on the position of each booth in the floorplan (i.e. the booth in row 4, column 10 would be 4010).

        • "Basic" numbering assigns booth codes sequentially based on a provided start number.

      • The "Copy Existing Floorplan" option allows users to choose an existing floorplan from any event to copy. Users can specify a new floorplan title and then the floorplan along with all its booths and the floorplan image will be copied.

    • When generating or copying a floorplan, the new floorplan will now be added to the "Floorplan" filter dropdown and a prompt will be shown to give users the option to open the new floorplan in the floorplan editor.

  • Event Wait List Updates

    • The event notebook registration list has been changed to allow for multiple selections using checkboxes.

      • The following actions support multiple selections: "Mark Attended", "Mark No-Show", "Add to Wait List", "Remove from Wait List", and "Add Selected Records to Bucket".

      • The following actions do not support multiple selections: "Cancel Registration", "Substitute Registration", "Edit Functions", and "Edit Badge".

    • A new "Wait Listed" filter toggle has been added.

    • The "Active" filter toggle has been updated to exclude wait listed registrations.

    • Cancelled registrations can no longer be marked as attended or no-show (this applies both to the activity buttons and the icons in the "Actions" column).

    • A new "Wait List" menu button has been added with options for "Add to Wait List" and "Remove from Wait List".

      • In both cases, users can specify a new "Price Category" and "Price" for the registration and can optionally provide a "Wait List Reason" and "Comment".

        • The "Wait List Reason" dropdown is tied to the WAITLISTREASON Lookups category.

        • The database field in the INDSESSION table that the "Comment" field is mapped to can be changed using the REG_WAITLIST_COMMENTFLD CVO setting. It defaults to PRICECOMMENT but can also be set to COMMENT or WAITLISTCOMMENT.

      • Cancelled registrations cannot be added to/removed from the wait list.

    • Additional changes to the event notebook, registration form, and other system areas related to this feature are detailed below.

Updates

  • Action Item Notebook

    • Updated behavior: When an AI's status is changed to "Completed" or "Cancelled", the "Completion Date" will be automatically set to today's date unless a different value is manually specified.

  • Certification Notebook

    • Transfer Credits

      • The transfer credits feature has been updated to be fully configurable with CVO settings. In addition to the existing NOTEBOOK_CERT_TRANSFER_CREDITS CVO setting which can be set to Y/N to turn the transfer credits feature on/off, the following new settings have been added:

        • NOTEBOOK_CERT_TRANSCRED_CEUFIELDS: An array containing the credit fields to show in the "Transfer Credits" modal. Defaults to ["CR_CEU1QTY", "CR_CEU2QTY", "CR_CEU3QTY", "CR_CEU4QTY", "CR_CEU5QTY", "CR_CEU6QTY"].

        • NOTEBOOK_CERT_TRANSCRED_COPYFIELDS: An array containing the fields to copy from the old certification to the new certification during the transfer credits process. Defaults to ["CR_CERTIFICATIONCD", "CR_SESSIONALTCD", "CR_SESSIONNAME", "CR_STATUSSTT", "CUSTOMERCD"].

        • NOTEBOOK_CERT_TRANSCRED_CUSTDATE: Determines whether the CERTIFICATIONDATE on the new certification should be set by specifying a date (Y) or a year (N). Defaults to N.

        • NOTEBOOK_CERT_TRANSCRED_NBLABELS: Determines whether to use the certification notebook labels (Y) or default labels (N) for the SESSIONNAME and CERTIFICATIONDATE fields. Defaults to N.

  • Committee List

    • Added CVO settings LIST_COM_FILTER_STATUS and LIST_COM_FILTER_TYPE to set a default status and type for the list.

  • Committee Notebook

    • Added an "Is member?" filter to member picker modal when adding a member to a committee that is configured as members-only

    • The setting AUTOFILLCOMMEMBDATES will now also auto set the term dates for an existing committee member

    • Users will receive a warning when:

      • Attempting to add a non-member to a members only committee

      • Attempting to add a committee member to a committee that has reached the maximum seat count

  • Dashboards

    • Pivot Tables

      • Added the "CSV Export" tool to allow users to export the underlying data

    • Table Views

      • Added support for the following record values to display a checkbox that is either checked (Y) or unchecked (N): <check-Y>, <check-N>

        • The tag must be at the start of the data string in order for the indicator to work. The values Y and N will appear in export data to indicate the field value.

      • Added support for the following column headers to automatically render the record values as links to open the job board posting notebook:

        • "JobPost", "JobPosting", "JobPostNum", "JobPostID", "JOBPOST", "JOBPOSTING", "JOBPOSTID", "JOBPOSTNUM"

      • Added support for the following column headers to automatically render the record values as links to open the advertising contract notebook:

        • "AdvContract", "AdvOrderID", "AdvOrderNum", "ADVCONTRACT", "ADVORDERID", "ADVORDERNUM"

  • Email Blast Interface

    • Admins and letter admins are now able to manage the "From address" list, the "From name" list, and the "Reply address" list to edit, remove and re-order the records.

  • Event Booth Notebook

    • The "Parent Booth CD" dropdown has been changed to only show booths on the same floorplan as the booth that's being edited rather than all booths for the event.

  • Event Function Notebook

    • Added "Is Sponsor?" to baseline profile layout and "Is Exhibitor?" to available fields bank

  • Event List

    • Create Duplicate Event Activity

      • Removed the "Copy booths" checkbox. To copy an existing floorplan to a new target event, use "Copy Existing Floorplan" when generating a floorplan on the new event to properly migrate the booths and floorplan configuration.

  • Event Notebook

    • Booths tab

      • Renamed "Floorplan" column to "Floorplan ##" and added link to floorplan editor

      • Added "Floorplan" column with the floorplan title

    • Functions tab

      • Added "Is Sponsor?" column to default list layout, and "Is Exhibitor?" to available columns

    • Prices tab

      • When adding a new price, checks have been added to ensure that the "Price Type" is unique within the event and that it is a proper code value (only alphanumeric characters, underscores, or dashes - no spaces).

      • When editing an existing price, the "Price Type" field will be read-only.

      • Added "Is Sponsor?" column to default list layout, and "Is Exhibitor?" to available columns

  • Event Price Notebook

    • Added web profile tab

    • Added "Is Sponsor?" and "Is Exhibitor?" to baseline profile layout

  • Event Program Notebook

    • Price List tab

      • When adding a new price, checks have been added to ensure that the "Price Type" is unique within the event program and that it is a proper code value (only alphanumeric characters, underscores, or dashes - no spaces).

      • When editing an existing price, the "Price Type" field will be read-only.

  • Event Registration Form

    • A new "Wait List Info" section has been added. The section has an "On Wait List?" field that can be checked to register someone onto the wait list and an optional "Wait List Reason" dropdown (which is tied to the WAITLISTREASON Lookups category). If the REG_WAITLIST_COMMENTFLD CVO setting is set to something other than PRICECOMMENT, an additional optional "Comment" field will be in the section as well.

    • If an event is at max capacity (current attendee quantity is greater than or equal to max attendees), the "On Wait List?" checkbox will be checked by default. Also "Show all prices and functions" will be pre-selected and the WAITLIST price will be pre-selected as well if it exists.

  • Floorplan Editor

    • Added "Save" button on the bottom-right of the modal window

    • Added a "Clear Floorplan Image" option

    • Replaced the "Popout" button with a "Clear Selection" button

  • Individual Notebook

    • Users will receive a warning when using the "Add to Committee" action when:

      • Attempting to add a non-member to a members only committee

      • Attempting to add a committee member to a committee that has reached the maximum seat count

  • Organization Notebook

    • For the "Purchase Booth" activity button, the list of booths to choose from will now exclude booths for "Closed" or "Cancelled" events by default and an "Include Closed Events" toggle has been added.

  • Registration Notebook

    • Added the following fields to the available fields bank: "Wait List Comment" (WAITLISTCOMMENT), "Wait List Start Date" (WAITLISTSTARTDATE), "Wait List End Date" (WAITLISTENDDATE), "Wait List Reason" (WAITLISTREASON), "Wait List Auto Flag" (WAITLISTAUTOFLG), and "Wait List Quantity" (WAITLISTQTY).

Bug Fixes

  • Updated various interfaces to resolve issues with display in new theme

  • Fixed issue with dashboard table views that did not allow certificate records to open correctly

  • Fixed issue where dashboard pivot table field manipulation was not available when expanded to full screen

  • Fixed issue where baseline tooltips were not showing up in the event price and event program price notebooks

  • Fixed issue where the "Status" column in the event notebook registration list was not showing any values
