Flow-Through Subscriptions
ClearVantage allows for dues or subscriptions to be configured by updating the dues offering notebook. This guide will outline the details for navigation, setup, and processes necessary to manage these dues.

At minimum 2 subscription records must be created.

1 Subscription Offering Notebook.

1 Supporting subscription for the allotted recipients with a zero dollar price.

Optionally, if additional recipients can be added, a 3rd dues record can be created to allow users to purchase membership slots over their original limit.

Note
Administrator permissions may be required to update the layout of the subscription notebook, and your layout appearance may differ from system to system. Please contact your Euclid Support Analyst with any questions.
Navigate to Subscription Offerings
- From the Main Menu, click "Services" and select "Subscriptions" to see all offerings for flow through, edit or add new offerings.
Subscription Offering Notebook
Below are the fields to fill out in the main subscription notebook if flow-through should be enabled.
Is Flow-through? = Yes

This turns on the flow-through logic for this subscription offering.

This setting should only be checked for the main dues offering.
Flow-through Max Recipients:

This is the number of recipients that are included in the purchase.

Additional members can be added optionally in flow-through Sub (Over Max). See below for more details.
Flow-through Sub:
- Drop down field to select the main subscription to be used when creating the dues records for all recipients within the purchase limit. See the next section: Supporting Dues Record.
Flow-through Sub (Over Max):

Drop down field for other subscriptions. This is the subscription to be used if this subscription offering allows for additional members to be purchased after the initial maximum has been met.

For example, if the subscription includes up to 10 members, but the purchaser needs to add 2 more individuals, this is the dues record that will be used to create the new dues.

There can be an additional fee for going over the maximum limit.

If this is not an option, please leave this field blank.
Dues Link = Organization
- Due to the permissions required for managing recipients, this allows primary contacts of an organization the ability to manage recipients for contacts within their organization.
On Web? = Yes

Set to Yes if this is public facing.

Only Primary & Alternate Contacts designated on the organization’s notebook are eligible to purchase and manage these dues.
Supporting Subscription Records
As mentioned above, these records should be set drop downs for flow-through Sub and flow-through (Over Max) to work as intended.

Members: Purchasing and Management
Primary and Alternate contacts can purchase and manage available organization subscriptions from their Membership Dashboard.
Note
If this is a new membership offering for your organization, please reach out to your Web Analyst for configuration for the flow-through dashboard menu item and design.

The menu option in the Membership Dashboard will appear and a listing of the available subscriptions for purchase will display. After purchasing the subscription, the main contact will be able to manage the recipients by drilling into the purchased subscription.

There is an option to add current individuals associated to the same organization or to add a new individual.

If the setup allows for additional recipients over the maximum, the costs associated will be added the invoice and will update the balance due.
In the example used in the images, the maximum recipients is 5, but the pending individual has increased the count to 6 since they added an extra recipient.

Once the new individual is added, the count will be updated and the new member will have a "Pending" status.

Once the balance on the invoice is paid, the "Pending" status will update and show "Active".
CVO Staff: Purchasing and Management
Staff can purchase a flow-through subscription for an organization, and manage recipients from within CV Online.

Similar to purchasing regular dues and subscriptions, navigate to the organization record purchasing the dues.

Use the Activities Menu on the Organization notebook to Enter Sub.

Choose and purchase the parent subscription offering from the Subscriptions list.

Create an invoice and apply payment if needed in he shopping cart.

Once the Parent flow-through subscription record is created , Staff can then ‘Assign Recipients’ by navigating to the dues record notebook and opening it.
Note
Any assigned recipients will be automatically added to the existing DUES/SUBS/DONS invoice.
Assigning Recipients

By opening the subscription record, the "Assign Recipients" section is only available for the main flow-through Subscriptions.

Staff can Assign Recipients or see the number Currently Assigned.
Assigning recipients to Different Invoices

There are three different options that you can choose from when assigning recipients to an DUES/SUBS/DONS record. Use the radio buttons to choose which invoice should be used to the recipient(s): the parent dues (main) invoice, the most recent recipient (current) invoice, or a new invoice.
